These terms apply when you choose to undertake a Panchakarma programme at an Ayurvedic clinic in Kerala with the support of Grateful Minds Ltd (company number 16984830) ("Grateful Minds", "we", "us", "our"). They should be read together with our Terms & Conditions and our Medical, Facilitation & Affiliate Disclaimer.
By paying our facilitation fee, you confirm you have read, understood and agree to these terms.
1. What we provide — and what we do not
We provide:
an introduction to the Ayurvedic clinic;
preparation and guidance before you travel;
support before, during and after your stay;
optional mindfulness, meditation, yoga and breathwork sessions if you choose to travel during the same dates as Alena.
We do not provide:
medical treatment, diagnosis or care;
accommodation, meals or therapies;
flights, visas, travel or insurance.
We act as an introducer and support provider — not a tour operator, travel agent or medical provider. Your contract for all treatment, accommodation and clinic services is directly with the clinic.
2. How booking and payment work
You book your own Panchakarma stay directly with the clinic. The clinic confirms your dates, availability, treatment plan, price and its own booking terms, and issues your invoice.
The total price is the clinic's standard price — the same whether you book through us or independently.
Of that total, a portion (our facilitation fee) is payable to Grateful Minds in the UK, and the remainder is payable to the clinic, as set out on the clinic's invoice. Booking through us costs you no more than going direct.
You pay the clinic directly for treatment, accommodation and all clinic services. We do not collect, process or hold those funds.
You arrange and pay for your own flights, visa and travel/medical insurance.
3. Our facilitation and support fee
Our facilitation fee covers our own service: preparation, guidance, coordination, communication and integration support, and any sessions we run during your stay. It is a fee for our service — it is not a deposit for, or part of, your clinic costs.
4. Cancelling — our facilitation fee
If you cancel, our facilitation fee is refundable as follows, by reference to your clinic arrival (start) date:
4 or more weeks before — full refund.
Between 4 and 2 weeks before — 50% refund.
Less than 2 weeks before — no refund.
We may, entirely at our sole and absolute discretion, offer a refund or transfer outside these terms in exceptional circumstances. Any such gesture is made as goodwill only, without obligation, and does not create any right or precedent for any other case.
If you are a consumer booking at a distance, you may also have a statutory 14-day cancellation right under the Consumer Contracts Regulations 2013. Where you ask us to begin your preparation and support during that period, you may be charged for what has already been provided, and the right ends once our service is fully performed.
5. Cancelling — clinic costs
All cancellation, refund and payment-schedule terms for your treatment and accommodation are set by the clinic and confirmed on your invoice. Any cancellation or refund request for those costs must be made directly to the clinic. We are not a party to that contract and cannot refund clinic costs.
6. Your health, screening and consent
You are responsible for your own physical, emotional and mental wellbeing.
The clinic carries out its own medical assessment, and its doctors may advise that Panchakarma is not suitable for you. You agree to provide the clinic with accurate health information and to follow its doctors' guidance.
Panchakarma is a traditional Ayurvedic process. You may experience physical or emotional responses — such as fatigue, digestive changes or emotional sensitivity — which are considered part of the process within the tradition. We are not responsible for any treatment effects or outcomes.
If you are pregnant or breastfeeding, have a diagnosed condition, are undergoing treatment (including cancer treatment) or take prescription medication, please consult your own doctor before travelling (see our Medical, Facilitation & Affiliate Disclaimer).
Any sessions we run are educational and wellbeing-based, optional, and never required.
7. Travel, insurance and responsibility
You are responsible for your flights, visa, documentation, any vaccinations or health requirements, and for comprehensive travel and medical insurance. We strongly recommend insurance that covers medical treatment abroad and repatriation.
We are not responsible for travel disruptions, delays or cancellations, for medical issues that arise abroad, or for any service provided by the clinic or by travel providers.
8. Travelling during Alena's dates
You may choose to time your own trip to overlap with Alena's travel dates. Where you do:
any group sessions offered are a complimentary part of our support, not a paid package or a reason the price differs;
you remain an independent guest who has booked your own stay directly with the clinic;
your dates, availability and booking remain entirely between you and the clinic.
9. Photography and media
If any sessions or gatherings are photographed or filmed, we will ask for your consent first, and you may decline. We will never use your image or words as, or edited into, a health or medical claim.
10. Limitation of liability
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited or excluded by law (including your statutory rights as a consumer). Subject to that, and to the fullest extent permitted by law, we are not liable for the acts, omissions, services or outcomes of the clinic or any travel provider, or for indirect or consequential loss; and our total liability to you is limited to the facilitation fee you paid us. All claims relating to treatment or accommodation must be directed to the clinic. See also clause 13 of our Terms & Conditions.
11. Your confirmation
By proceeding and paying our facilitation fee, you confirm that:
you understand Grateful Minds is an introducer and support provider, not the provider of the stay or treatment;
your contract for treatment and accommodation is directly with the clinic;
you take responsibility for your own travel, health and participation decisions.
